“Paperless Office” is becoming a common keyword in commercial sectors. It describes a work environment in
which the use of paper is eliminated or greatly reduced. Digitizing paper-based documents is one of the methods
which can make a paperless office possible. We mentioned in the previous issue that digitization of documents helps
to save unnecessary paper uses. It brings us more benefits than merely being eco-friendly.
Let’s talk about space. In Chinese, we use the idiom “every foot of land costs an inch of gold” to describe the expensive
value of land and space. However, it is already inadequate to apply this saying in Macau. Nowadays, the office rental
fee for the commercial buildings located in central area costs exorbitant price. It becomes a huge monthly expense for
companies and, therefore, it is very unreasonable to reserve space for the storage of paper-based documents which
are seldom used in daily operation.
近年「無紙化辦公室」一詞在商業界愈見普及,其指的是創建一個不用紙張或大量減少用紙的工作環
境。為達成無紙化辦公室,其中一個重要手段是電子化。我們在上一期提及將文件電子化,是減少辦公室
用紙的好方法。除了促進環保外,文件電子化還可帶來更多的裨益。
其中一項裨益與「空間」有關。用「寸金尺土」來形容澳門土地和空間的珍貴,可能已是相對落後的說
法。市中心地段的新型商業大廈租金高昂,對於企業來說,每月的辦公室租金已經成為其重大的開支。若
辦公室積存了大量甚少使用的印刷品,佔據了龐大空間,從使用效率上看是不合理的。
